Executive Assistant & Office Manager
Consultancy assignment via The Pace | Stockholm | Full-time
We are looking for a highly skilled Executive Assistant & Office Manager who thrives in an international corporate setting and enjoys working close to senior leadership. This position offers a unique opportunity to combine strategic executive support with operational office responsibility at a globally recognized company.
The assignment is full-time, starting in mid-November, and for the right candidate there is a clear possibility of transitioning into direct employment with the client. You will be based in central Stockholm.
The Role
As Executive Assistant & Office Manager, you will become an essential link between senior leadership and the broader organization. The role is multifaceted and requires someone who can balance high-level strategic support with operational excellence in the day-to-day running of the office.
Your responsibilities will include preparing and coordinating board-related work, ensuring the management team is well supported in its planning, and overseeing all aspects of the office environment. You will serve as a trusted partner to executives and colleagues, ensuring structure, efficiency, and a professional standard in everything you do.
Your key areas of responsibility include:
- Acting as the primary administrative partner to the management team, ensuring calendars, meetings, and priorities are well managed.
- Coordinating the preparation of board materials, annual planning documentation, and executive presentations.
- Managing international business travel and related logistics, ensuring seamless arrangements.
- Supporting decision-making by securing the right documentation and information flow to leadership.
- Acting as point of contact for board members regarding practical matters such as travel and meeting arrangements.
In addition to your executive support responsibilities, you will also have full ownership of the Stockholm office. This means ensuring a professional and efficient work environment where both employees and visitors feel welcome.
Office Management responsibilities include:
- Leading day-to-day operations of the office and coordinating all facility services.
- Managing relationships with suppliers, vendors, and landlords, including contract negotiations and cost optimization.
- Preparing and monitoring the office budget and ensuring cost efficiency.
- Planning and executing local office events and supporting internal communication initiatives.
- Overseeing occupational health and safety evaluations and implementing improvements.
- Continuously developing the office environment to support productivity, collaboration, and employee well-being.
Your Background
To succeed in this role, you are an experienced Executive Assistant with strong organizational and interpersonal skills, combined with the ability to manage change in a dynamic setting. You are confident in handling sensitive matters with integrity and are used to interacting with senior stakeholders both internally and externally.
We believe you bring:
- 5–10 years of experience as an Executive Assistant or similar role within a large, international, or listed company.
- Proven ability to support top management and boards with professionalism and discretion.
- Excellent planning and coordination skills, with high attention to detail.
- Strong communication abilities, both written and verbal.
- Excellent command of business English, both written and spoken, with the ability to communicate professionally in an international corporate environment.
- Fluency in Swedish (or another Nordic language) is required.
- A service-oriented mindset, combined with the ability to work independently and make sound judgments.
- Experience in office management, including budgeting, supplier relations, and facility operations, is highly valued.
- A humble attitude where you approach every task with dedication and a desire to deliver quality.
